One-on-One Meetings and Providing Feedback

I will try to share my experiences in team management.

People are valuable.

Listening to them, understanding them, and showing empathy is of great importance. We can provide feedback to our team members through proper communication within the framework of goodwill.

I see that employees who feel valued have better motivation and productivity. To ensure this, I believe it is beneficial to hold one-on-one meetings at regular intervals.

Each person has unique characteristics, principles, communication styles, and approaches. It is not possible to reach everyone in the same way with a single method. A personalized approach must be created, and behavior must be adjusted accordingly.

Notes for Providing Feedback:

  • Feedback should be given in an appropriate setting and at the right time.
  • Positive feedback can be given in front of everyone.
  • Negative feedback should be given privately.
  • Share what you observe immediately. Accumulating feedback can harm both parties and can lead to different outcomes.
  • Be clear and straightforward. Avoid indirect communication.
  • Successful work should be appreciated in front of everyone.

My One-on-One Meeting Questions:

Some colleagues prefer face-to-face conversations, while others prefer written communication. Adapting to the person is more logical. You understand this over time. The most important aspect of this meeting is that both parties are well-intentioned.

  • How are you? How is everything going? Is everything alright?
  • What do you think causes the most time waste and how can we improve it?
  • Do you have any suggestions on how we can work more efficiently and produce better quality work as a team?
  • Have you asked for feedback from your team members and what was the last feedback you received?
  • Do you feel comfortable giving feedback to your team members and what was the last feedback you gave?
  • Is there anything that hinders you from achieving your goals? How can I assist you?
  • Is there a situation in your personal life causing you stress? Is there anything I can do to help?
  • What are your expectations from me? How can I best assist you?
  • If you were a manager in our company, what would you like to change?
  • What motivates you the most?
  • In your opinion, what makes a good leader/manager?
  • What do you think is the most important issue that needs to be fixed in our company?
  • Do you have any feedback you would like to give me?
  • How often do you think we should have one-on-one meetings? Can you organize the next meeting? (It’s good to give the responsibility to the other party here.)
